About the Role
We are hiring an Executive Assistant & Office Manager to provide all-around support to Partners and keep things running smoothly across the Marble team.
This will include, but won’t be limited to, managing calendars and inboxes, office management, and any support in the day-to-day work behind building high impact climate companies. You might also be involved in occasional special projects.
Working with some of the brightest and most driven individuals you’ll ever meet, you will be immersed in the worlds of climate tech innovation.
This is a full time position with competitive compensation.
Location: Paris, France.
Language: English and French fluency required.
Responsibilities
This pivotal role involves broad support to both Founding Partners:
- Calendar & inbox management. Email, LinkedIn, meetings, travel arrangements and any other demand on Partner time, according to priority and time sensitivity.
- Office management. Liaison with the Station F campus, scheduling meetings and booking adequate rooms, proactively managing IT inventory and office supplies, greeting visitors (candidates, founders, investors, partners, etc)
- People. Team payroll, benefits, leave/absence, contracts, training and other people ops activities. Onboarding, off-boarding and administrative support for the team as well as freelance contractors. (e.g. Founders in Residence)
- Finance. Pre-accounting operations and liaison with accounting firm, invoicing & payments, updating and monitoring financial dashboards, managing suppliers
- Events & project management. Coordinating logistics for Marble events (e.g. meetups, dinners, conferences, team and founder offsite). Occasionally, providing project management support for special projects and initiatives by Marble.
Beyond these core pillars, you will strive to anticipate needs ahead of time to proactively support Founding Partners, ensure that important tasks don’t fall through the cracks, and help identify areas of improvement to streamline processes.
Skills & Profile
This role is ideal for a passionate individual with prior success in executive support experiences, ideally within a startup and/or technical environment:
- You are well organised. You enjoy creating structure in everything from processes to information management, in a way that feels seamless and intuitive.
- You are a sensible communicator. Your writing is clear and concise, you respond quickly in time-sensitive situations, and you know how to handle sensitive and confidential material. You’re also great at giving and receiving feedback.
- You make things happen. You are outcome focused, action oriented, and very comfortable with ambiguity. You pick up tasks and projects from initial brief to completion, knowing when to stop to ask questions, get feedback, or flag barriers.
- You are a multi-tasker. You can keep multiple plates spinning at once, and can easily switch between tasks when necessary, without letting things fall behind. You’re very comfortable to determine priorities across multiple inboxes and work streams.
- You are detail-oriented. You take pride in the excellence and details of your work, whether it’s an email, a presentation or an team event. Anything you are involved with is delivered with great care, accuracy, and polished formatting.
- You excel at using digital tools. From essential office apps (Google, Microsoft) to the most common startup software. Ideally you’re already familiar with most tools among the following: PayFit, Swile, Qonto, Pennylane, Slack, Notion, Zoom, Calendly, etc.
- You are a people person. You are approachable, collaborative and generous, with a high level of emotional intelligence. People feel energised around you.
- You are a curious and pragmatic optimist with a personal interest in climate tech solutions, startups, science and technology.
- You have full working proficiency in English and French. We work in English, but we’re based in France and interact with the local ecosystem & administration!
What We Offer
- Full-time (CDI) contract
- Competitive compensation: €45-55k brut annual base + 10% annual bonus
- Office in Paris 13 (Station F). Flexible remote days are possible
- 40 days off = 25 standard + 10 forfait jours + 5 extra during holiday season
